The Wedding Coffee Bar Guide: Costs, Planning & The Luxury Details

A wedding coffee bar isn't a beverage station — it's a moment. Done well, it becomes the corner of the room guests return to all night: a quiet warmth between courses, a signature latte during golden hour, an espresso martini before the dance floor opens. This is the bespoke planner's guide to doing it right.

What a wedding coffee bar actually costs

Pricing for coffee cart catering varies by region, season, and scope, but most couples planning a luxury wedding coffee bar budget within these ranges:

  • Intimate (up to 75 guests, 2 hrs): $1,200 – $1,800. One cart, two baristas, core espresso menu.
  • Standard (75–150 guests, 3 hrs): $1,800 – $2,800. Signature drink, milk alternatives, custom menu signage.
  • Luxury (150–250 guests, 4 hrs): $2,800 – $4,500. Bespoke styling, premium cups, branded napkins, expanded specialty menu.
  • Estate / multi-day: $4,500+. Multiple carts, welcome-morning service, late-night espresso martinis.

Costs that surprise couples: travel beyond the local radius, power and water access at outdoor venues, and add-ons like branded cups or custom syrups. Ask your caterer for an itemized quote so nothing arrives as a line-item surprise.

When to open the bar (timing matters more than menu)

The most common mistake is booking the coffee bar only after dinner. By then, half the room is already on the dance floor. The two windows worth the spend:

  • Cocktail hour: a sophisticated non-alcoholic option for guests who don't drink, designated drivers, and anyone pacing themselves.
  • Post-dinner lull (8:30–10pm): the magic window. Energy dips, guests need a lift, and an espresso martini or oat-milk latte resets the room.
  • Send-off / late-night: an unexpected touch that guests photograph and remember.

Designing the menu (less, but better)

Luxury weddings tend toward restraint. A tight, considered menu reads more elevated than a wall of options. Our recommended structure:

  • Two classics — a flat white and a cappuccino, done properly.
  • One signature — built around your color palette, season, or how you met.
  • One non-coffee — matcha, chai, or a seasonal cold drink.
  • One nightcap — espresso martini or affogato for after dinner.

Skip the 14-syrup wall. A bespoke signature drink with your names on the menu card does more for the guest experience than endless customization.

The styling details that photograph well

  • A custom menu card matching your invitation suite.
  • Cups in a palette that complements the florals.
  • Cart placement near a window or backdrop, not against a service door.
  • A small floral moment on the cart — repeat one stem from the centerpieces.
  • Soft, warm lighting on the cart at night.

Logistics your venue will ask about

  • Space: a typical cart needs roughly 8' × 4'.
  • Power: one or two dedicated 20-amp circuits.
  • Water: most luxury carts bring their own, but confirm.
  • Setup: 60–90 minutes ahead of service.
  • Insurance: ask for a COI naming the venue.

Questions to ask your coffee cart caterer

  • What grade of coffee do you use, and where is it sourced?
  • Can the signature drink be built around our palette?
  • How many baristas are included for our guest count?
  • What's the styling and signage scope?
  • What does the timeline look like from setup to breakdown?
